John Cipollone Inc., a family-owned heating, AC, and fuel oil business, is seeking an organized and proactive individual to join our team as an Office Manager. Pay Range: $34.50/hr to $39.50/hr depending on experience

Hours: Monday through Friday, 7:30 am to 4:00 pm, with a 30-minute lunch break

Key Responsibilities:

  • Oversee daily office operations to ensure efficiency and productivity
  • Manage administrative staff and provide support to various departments
  • Coordinate schedules, meetings, and appointments for the management team
  • Handle customer inquiries and ensure excellent customer service
  • Call customers to schedule services and follow up on inquiries
  • Answer phones, directing calls, and providing information as needed
  • Maintain office supplies and equipment, ensuring everything is in good working order
  • Prepare reports, manage office budgets, and perform light bookkeeping tasks
  • Handle accounts payable and filing monthly reports.
  • Implement and enforce office policies and procedures

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred
  • Proven experience in office management or administrative roles
  • Proficiency in Microsoft Office, especially Excel and Word
  • Proficiency in QuickBooks
  • Strong organizational and multitasking skills
  • Excellent interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Attention to detail and problem-solving skills
