Job Description

Location: Palo Alto, CA
Ideal Start Date: ASAP
Compensation: $80,000 to $110,000, with profit-sharing bonuses

About the Role:
As the office manager, you will handle a variety of administrative tasks such as maintaining calendars, tracking insurance certificates, assisting with payroll, and supporting office operations. Proficiency in Microsoft Office, Sage Master Builder, and QuickBooks is preferred, with bilingual abilities in Spanish highly valued. This role offers the potential for career growth within the company.

Daily Life:
Your day will involve managing company calendars, providing administrative and accounting support, maintaining the company website, managing IT equipment, coordinating job site safety programs, and tracking insurance certificates. You will assist with the hiring and onboarding process and support payroll processing.

Key Responsibilities:

  • Manage calendars, track employee time off, and coordinate events
  • Provide administrative and accounting support, including data entry and filing
  • Maintain and update the company website
  • Manage IT equipment and troubleshoot issues
  • Coordinate job site safety programs and track attendance
  • Track and manage subcontractor insurance certificates
  • Assist with hiring and onboarding new employees
  • Track and process employee timecards and payroll information

Ideal Candidate:

  • Experience with Sage Master Builder
  • Proficiency in Microsoft Office suite, including Word and Excel
  • Experience with QuickBooks and payroll processing
  • Bilingual in Spanish/English (preferred but not mandatory)
  • Strong communication and interpersonal skills
  • High attention to detail and organizational abilities
  • Adaptable and willing to learn new software and processes
  • Problem-solving and critical thinking skills
  • Familiarity with construction industry processes
