Finance Administrator

Alliance Defending Freedom is looking for a highly dependable Finance Administrator  to join us in our Scottsdale, AZ Office. In this role, you will report to the Director of Accounting and provide essential administrative and operational support to the Finance Team. The Finance Administrator will anticipate daily needs, responsibilities, and expectations. This position will demonstrate a commitment to continuous quality improvements, excellent customer service to both internal and external business partners, and an overall standard of excellence. Additionally, you will be expected to exercise a heightened level of confidentiality and good judgment when privy to sensitive information.

Your Essential Responsibilities:

Finance and Accounting Responsibilities:

  • Manage relationships with banking providers by maintaining contact and account information, updating signatories, and coordinating funds transfers
  • Process International Accounts Payable transactions and wire payments
  • Review and process monthly corporate credit card expense reports
  • Assist with Accounts Payable processing, vendor maintenance, and annual 1099 preparation
  • Review and coordinate state Charitable Registration efforts
  • Complete General Ledger entries and reconcile general ledger accounts
  • Support month-end and year-end accounting cycle
  • Maintain and research various State Tax Exemption information
  • Assist with various accounting and finance functions and reporting in support of the Vice President of Finance and Director of Accounting

Administrative Support

  • Provide high-level administrative support; proof documents, manage correspondence and assist with the preparation of reports and presentations
  • Coordinate and manage projects essential to the Finance team in conjunction with the VP of Finance and Director of Accounting
  • Coordinate VP of Finance calendar, travel, appointments, and meetings
  • Manage VP of Finance correspondence and communications as directed, including e-mail, circulation, and Outlook contacts
  • Complete accurate and detailed department expense reporting
  • Function as a Notary for the Finance team and other teams as needed

Other Responsibilities (Non-Essential):

  • You will be asked to perform related duties or special projects as assigned.

Skills you need to succeed:

Demonstrated proficiency in:

  • Microsoft Office suite, particularly Excel and Outlook
  • Excellent organizational, time management, and problem-solving skills
  • Excellent verbal, written, and people skills

Ability to:

  • Self-start with a demonstrated record of punctuality and dependability
  • Manage and complete assignments on time, with a high degree of quality and efficiency
  • Multi-task with strong attention to detail
  • Work independently and across teams

Education and/or experience:

  • Bachelor’s degree in finance, accounting, or business
  • 5+ years of experience in an administrative role, preferably in an accounting, finance, or business office setting
  • Experience with enterprise-level accounting software a plus
