Position Summary:
As an Executive Assistant, you will provide high-level executive and administrative support to the Chief Executive Officer (CEO). This role requires a high degree of accuracy, independent judgment, and the ability to manage a wide array of duties. You will handle information requests, draft correspondences and presentations, research, prepare for site visits, and coordinate meetings. Additionally, you will support the CEO and the Executive Team with tasks such as scheduling, expense reports, and travel arrangements.

Key Responsibilities:

Provide executive assistance and high-level information management support to the CEO.
Handle information requests, draft correspondences and presentations, research, and coordinate calls and meetings.
Track follow-up items from meetings and ensure completion.
Manage the CEO's calendar, travel, and expense reports.
Provide high-level administrative support to the Executive Team by assisting with scheduling, expense reports, and travel.
Prepare for site visits, meetings, and events with internal and external stakeholders.
Work with staff across the agency and the Board of Directors, tracking and documenting key meetings and supporting the development of meeting materials.
Manage Board of Directors meeting logistics, material preparation, and documentation.
Coordinate planning and manage logistics for virtual and in-person staff meetings.
Answer and respond to phone calls; communicate messages and information to the CEO.
Attend and take minutes at weekly Executive Team meetings and monthly Leadership Team meetings.
Qualifications:

Bachelor's degree and a minimum of 3+ years of experience supporting C-suite executives.
Previous experience working with nonprofit or youth-serving organizations is preferred.
High level of initiative and personal accountability for the quality and impact of work.
Ability to coordinate multiple meetings, tasks, and priorities concurrently.
Strong time management and multitasking skills.
Excellent oral and written communication skills.
Acute attention to detail in communications and scheduling.
Ability to function effectively under pressure and meet deadlines.
Professional demeanor and ability to exercise discretion and maintain confidentiality.
Proactive, friendly, cooperative, and flexible demeanor.
Willingness to work collaboratively and independently.
Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, Project, and Outlook.
Availability for occasional evening and weekend work, and some travel as needed.
